Do I need a card to start the free trial?

No. The 14 days start with no card at all, and we ask for one as the trial comes to an end. You sign up, set your company up and use every feature, and we email you three days before that happens, and again the day before, so nothing is ever charged without warning you first. If you would rather look before signing up for anything, the demo account opens a real, fully populated CleanFlo company with no signup either.

What happens to my data if I cancel?

Your account is paused rather than deleted, so your clients, jobs, invoices and risk assessments are all still there if you come back. You can export everything to CSV at any point, before or after cancelling. We do not hold your data hostage to keep you subscribed.

Does it clock my cleaners in and out, so I can prove hours to a client?

Partly, and the distinction matters if you bill by the hour. Cleaners start and complete jobs on their phone, so you get a real record of when work began and finished, with checklists and photographs against it. What the reports show, though, is hours estimated from the job as scheduled rather than a verified timesheet, so treat them as a measure of workload rather than as evidence in a billing dispute. If settling arguments with a facilities manager about attendance is your main reason for buying software, say so before you start: that is a timesheet product’s job and we would rather tell you that than have you find out in month two.

My cleaners don't all speak English, and half our sites have no signal. Will they manage?

Yes, and this is the part CleanFlo is built around. The cleaner app matches each person's own phone language, 27 of them, so nobody is working in a second language. It works offline by default: every tick, photo and clock-in queues on the phone and syncs itself when the signal comes back. Basements and plant rooms are the normal case for cleaning work, so they are the normal case for the app.

How much does cleaning management software cost?

CleanFlo is £19.99 per month, flat, with unlimited staff, clients and locations. There is one plan and it includes the whole platform: scheduling, invoicing, compliance, analytics, your website and the cleaner mobile app. Every account starts with a 14-day free trial with full access. Does CleanFlo connect to Xero, QuickBooks or Sage?

Not with a live connection, and it is better you know that now than in week three. There is no API sync. What CleanFlo does is export every invoice, payment and revenue line as CSV in one click, formatted so your accountant or bookkeeper brings it straight in. That is how most cleaning firms this size actually work with whoever does their books. The numbers arrive the same; a person presses a button once a month instead of a robot pressing it nightly. What you get for that is the half nobody else joins up: the completed job becomes the VAT invoice with your BACS details and a payment reference already on it, and the overdue chase runs at 7, 14 and 30 days on its own. The typing between the clean and the invoice is the part that costs you evenings, and that is the part this removes.

I already have my clients in a spreadsheet. Do I have to type them in?

No. A spreadsheet, a CSV, an export from whatever you use now: send it over and we put your clients, sites, services and staff into your account during the 14-day trial, at no charge. What we cannot do for you is the half that is actually yours: the keys, the alarm codes and the access notes against each site. Budget an evening for those. Most businesses run CleanFlo alongside their old system for a fortnight rather than switching in one go.

I've only got one or two cleaners. Is this too much software for me?

No, and the price is the reason. At £19.99 a month it costs about an hour at the rates our own guides publish, and there is no tier to grow into: the account you open tonight with one cleaner is the same account at forty, because the bill is flat rather than per cleaner. What changes is how much of it you use. Start with the rota, the client list and the invoices and leave the rest until you need it. Fourteen of the parts, your own web page and the vehicle register among them, switch off in your settings so the ones you do not run stay out of the way. Nothing is withheld because you are small.

What if I forget to cancel?

You cannot be charged by forgetting, because there is no card on the account during the trial. When the 14 days are nearly up we email you three days out and again the day before; if you do nothing at all, the trial simply ends. Your data is not deleted while you decide.

Is there a contract or lock-in period?

No. CleanFlo is month-to-month with no contract and no lock-in period. You can cancel anytime from your account settings, with no notice period and no cancellation fee. We believe you should stay because the software works for you, not because you're trapped in a contract.

Whether it does your job

I'm not VAT registered. Will CleanFlo put VAT on my invoices?

No, and you do not have to do anything to prevent it. Signing up asks "Are you VAT registered?" once, and the answer is no unless you say otherwise. With it off, an invoice carries no VAT number in the letterhead, no VAT column on the table, no VAT against any line and no VAT row in the total. Not zeroes: nothing. It is your prices and what is owed. If you cross the threshold later, tick the box in Settings and add your number, and invoices you raise from then on carry VAT at 20%.

What is CleanFlo and who is it for?

CleanFlo is cleaning business management software for UK cleaning companies, from a sole trader with one round to a firm running forty cleaners. It holds the rota, the client and site records, the cleaner app your staff use on their own phones, quoting and VAT invoicing, health and safety, and a public web page of your own. It is £19.99 a month, flat, with unlimited staff, clients and locations, so taking somebody on does not move the bill. It is written for one trade in one country rather than adapted from a general field-service product, which is why VAT at 20%, BACS details on the invoice and RAMS on a 5×5 are built in rather than something to configure. VAT itself stays optional: it asks once whether you are registered and assumes you are not. Domestic rounds, commercial contracts, end of tenancy, holiday let changeovers, Airbnb turnovers, window rounds and soft facilities management all run on the same book, and each of the seven has a page of its own on this site written for it.

Can I schedule recurring cleaning jobs and manage staff rotas?

Yes. CleanFlo provides smart scheduling with day, week, and month calendar views. You can create one-off or recurring cleaning jobs, assign staff, and manage rotas across multiple sites. Your cleaning team receives automatic push notifications and emails when jobs are assigned or schedules change.

How do my cleaners get notified about new jobs?

CleanFlo sends automatic notifications via both push notifications (to their mobile device) and email when jobs are assigned, schedules change, or shifts are cancelled. When you add someone to the team you choose how they get in: a single-use invite link they redeem to set their own password, or a temporary password you set and CleanFlo emails to them.

Can my cleaning staff use CleanFlo on their mobile phones?

Yes. CleanFlo includes a dedicated mobile-first portal for your cleaning team. Staff can view their schedules, check job checklists (vacuuming, bathrooms, kitchens, etc.), and receive push notifications about new assignments. The app works offline too. It syncs automatically when back online, even in zero-signal zones.

Does CleanFlo support VAT invoicing and BACS payments?

Absolutely. CleanFlo generates professional invoices from completed cleaning jobs, as full UK VAT invoices if you are registered and with no VAT anywhere on them if you are not: it asks once and defaults to not registered. Every invoice includes your BACS bank details (sort code and account number) with unique payment references for easy reconciliation. You can send invoices directly via email with full PDF downloads.

How does CleanFlo help with health and safety compliance?

CleanFlo includes a comprehensive Health & Safety engine with site risk assessments using an interactive 5×5 hazard matrix (RAMS), incident logging by severity level, scheduled compliance audits, and a dynamic compliance score (0-100) visible on your dashboard. Risk assessments print to a clean A4 document: the first thing an inspector asks for.

Can CleanFlo track cleaning supplies and inventory?

Yes. CleanFlo includes inventory tracking to monitor stock levels for cleaning chemicals, equipment, tools, and PPE across your locations. Put a minimum on anything you cannot run out of and CleanFlo emails you the first time it drops under, so you reorder before your team runs out on site.

I don't have a website. Can CleanFlo give me one?

Yes. CleanFlo builds you one, at cleanflo.io/p/your-name, out of the services, the town and the job history it already holds, so most of it is filled in before you start. Four questions about your work pick a design to suit it, or you choose from all fourteen: they are fourteen different page structures, not one structure in fourteen colours. Your own services, photos and areas go on it, along with a quote form that lands in your enquiries inbox. Nothing about a client does: no address, no job, no photograph taken inside somebody's home. It is part of the £19.99, not an extra. The address is made from your company name and cannot be swapped for a domain of your own. There is a finished example at cleanflo.io/p/coastalcleaningdemo: a made-up company, said so in a bar along the top, with invented reviews and a form that does not send, and kept out of Google. The same bar switches the design, the colours and the lettering.

Moving off what you use now

How does CleanFlo compare to Jobber, ZenMaid or Connecteam?

The structural difference is what you are billed for: they charge per user, CleanFlo does not, so the bill is the same on your fortieth cleaner as it was on your first. The other difference is where each was built. CleanFlo is written for UK cleaning work specifically: VAT invoicing, BACS details on the invoice itself, and the RAMS and 5×5 risk matrix a commercial client asks for at tender. We do not quote their prices here, because prices change and ours would be out of date the week they did. There is a page for each comparison, and each one says what they do better than us.

How long does it take to set up CleanFlo?

That depends on what you are moving. Starting from nothing, you can have your services priced, a first client in and a first job on the rota in about fifteen minutes. Moving a real book across is an evening: a CSV of your clients and sites imports in minutes, but access notes, alarm codes, keys and who cleans what are yours to check, and they are worth checking. Most businesses run CleanFlo alongside whatever they use now for a week or two rather than switching everything over on a Sunday night. Getting a cleaner in takes about a minute: send a single-use invite link by WhatsApp or text and they set their own password.

Your data, and who you are trusting

What happens to my data if CleanFlo stops trading?

A fair question to ask a company founded in 2025, and the honest answer has two halves. The first is that your data is exportable to CSV at any time, from inside the product, without asking us: clients, sites, jobs, invoices, quotes and staff. Nothing is held in a format only we can read, and you do not need our permission or our continued existence to get it out. The second half is that we do not hold funds, we are not a bank, and we do not sit between you and your customers’ money, so there is no scenario in which our stopping takes your income with it. What we cannot honestly offer you is a code escrow or a guaranteed-continuity contract, because we do not have one. If that is a condition of buying, tell us and we will say so plainly rather than sell around it.

Who is actually behind CleanFlo?

CleanFlo is the product. The company you are contracting with, and the one your payment goes to, is WhealBit: the same name on the invoice, in the Terms and on the data processing agreement, so there is no third party you have not been introduced to. It is a small, UK-based operation built in Cornwall, and the software is written for the trade rather than adapted from a general field-service product. The about page at cleanflo.io/about/ sets out the same facts with the date each one was checked, and what CleanFlo does not claim. Where does my data live, and who can see it?

Your data is held in the EU/UK region of our hosting provider, and access is restricted per company: one cleaning company cannot read another’s records, which is enforced by the database itself rather than by the app being careful. Cleaners see their own jobs and nothing else; supervisors see their round. We publish the full data processing agreement and the list of subprocessors (every third party that touches your data and what each one does) so you can read them before signing up rather than after.

Can I export my financial data from CleanFlo?

Yes. CleanFlo offers one-click CSV export of all your financial data: invoices, payments, revenue reports, and more. The export is formatted and ready for your accountant or bookkeeper. This makes tax time, VAT returns, and financial reporting straightforward.

Something has gone wrong. Who do I actually talk to?
